ME Market Days Vendor Rules

ME Market Days are marketplace events created by Mercha Exchange to help small businesses, makers, creators, vendors, service providers, and independent sellers connect with shoppers in person.

These Vendor Rules are designed to keep ME Market Days organized, professional, safe, and welcoming for sellers, shoppers, venues, sponsors, and the community.

Vendor Approval

Submitting interest or applying for a ME Market Days event does not guarantee approval or booth space.

Mercha Exchange may review vendor applications based on available space, product category, event fit, seller standards, timing, venue requirements, and overall market balance.

Booth Space

Approved vendors will receive event details before the market date, including booth size, setup time, tear-down time, location details, parking instructions, and any venue-specific requirements.

Vendors are responsible for keeping their booth area clean, safe, and professional throughout the event.

Tables, Tents, Displays, and Equipment

Unless otherwise stated, vendors are responsible for providing their own tables, chairs, displays, racks, tents, signage, payment tools, extension cords, lighting, and any equipment needed for their booth.

Outdoor events may require tent weights or other safety measures. Vendors are responsible for securing their setup properly.

Setup and Tear-Down

Vendors must follow the assigned setup and tear-down times provided by Mercha Exchange.

Vendors should arrive on time and be fully set up before the event opens to shoppers.

Early tear-down may not be allowed unless approved by Mercha Exchange, as it can affect the appearance and experience of the market.

Vendor Conduct

Vendors are expected to treat shoppers, other vendors, event staff, venue representatives, sponsors, and community members with respect.

Unprofessional behavior, harassment, unsafe conduct, aggressive sales tactics, or failure to follow event instructions may result in removal from the event or future ME Market Days opportunities.

Product and Service Responsibility

Vendors are responsible for the products and services they sell or promote at ME Market Days.

Vendors must accurately represent their products, pricing, availability, materials, services, policies, and any custom order details.

Vendors are responsible for handling their own sales, payments, receipts, refunds, exchanges, customer service, and fulfillment unless otherwise stated in writing.

Payments and Sales

Vendors are responsible for bringing their own payment methods unless Mercha Exchange specifically provides a different event arrangement.

This may include cash, card reader, QR code payment, website checkout, invoice method, or other seller-managed payment options.

Mercha Exchange is not responsible for a vendor’s payment processing issues, declined payments, chargebacks, or seller-managed checkout problems.

Refunds, Returns, and Customer Issues

Vendors are responsible for communicating their own refund, return, exchange, and custom order policies to buyers.

If a customer issue arises from a purchase made directly with a vendor, the vendor is expected to make a reasonable effort to resolve the concern professionally.

Repeated unresolved complaints may affect a vendor’s standing with ME Market.

Permits, Licenses, Insurance, and Taxes

Vendors are responsible for understanding and following any permits, licenses, insurance, tax, health, safety, labeling, and legal requirements that apply to their products, services, or business.

This may include sales tax permits, food permits, health department requirements, professional licenses, insurance certificates, or venue-specific requirements.

Mercha Exchange may request documentation when required by law, venue, event type, or marketplace standards.

Food, Beverage, and Regulated Products

Food, beverage, skincare, wellness, body products, and other regulated products may require special approval, permits, labeling, insurance, or documentation.

Vendors are responsible for meeting all applicable requirements before participating in ME Market Days.

Mercha Exchange may deny or restrict certain items depending on event type, venue rules, local requirements, or marketplace standards.

Prohibited Items

Vendors may not sell, display, or promote counterfeit, stolen, illegal, unsafe, misleading, hateful, unauthorized, or prohibited items.

Vendors must follow the ME Market Prohibited Items Policy.

Mercha Exchange reserves the right to request removal of any product, sign, display, or material that does not meet marketplace standards.

Booth Sharing

Booth sharing may require prior approval from Mercha Exchange.

All sellers participating in a shared booth must be disclosed and approved before the event. Undisclosed sellers or products may be denied participation.

Cancellations and No-Shows

Vendors should notify Mercha Exchange as soon as possible if they cannot attend an approved event.

Booth fees, deposits, or event payments may be subject to the cancellation and refund terms provided for that specific event.

Repeated no-shows or late cancellations may affect future event approval.

Weather and Event Changes

For outdoor or weather-affected events, Mercha Exchange may adjust event times, layout, setup requirements, or event status as needed.

Weather-related cancellation, postponement, or refund terms may vary by event and will be communicated when possible.

Mercha Exchange is not responsible for vendor losses due to weather, low attendance, travel costs, inventory preparation, or other circumstances outside the event organizer’s control.

Event Promotion

Mercha Exchange may promote ME Market Days through social media, flyers, email, local advertising, website listings, community outreach, sponsor promotion, and other marketing efforts.

Vendors are encouraged to help promote events through their own channels as well.

Event promotion does not guarantee sales, foot traffic, or specific buyer turnout.

Photos, Video, and Marketing

By participating in ME Market Days, vendors understand that photos or videos may be taken during the event for promotional, marketing, website, social media, or community documentation purposes.

Vendors who have specific concerns should contact Mercha Exchange before the event.

Marketplace Action

Mercha Exchange reserves the right to take action when needed to protect the event, shoppers, sellers, venue, sponsors, and marketplace reputation.

This may include:

Requesting booth changes
Requesting product removal
Issuing a warning
Denying future event participation
Removing a vendor from an event
Reviewing or canceling seller membership
Removing a seller from ME Market
