ME Market Days Vendor Rules & Booth Setup Guidelines
ME Market Days by Mercha Exchange are designed to create organized, welcoming, and seller-centered market events for small businesses, makers, vendors, food and beverage vendors, and local shoppers.
These guidelines help protect the event experience, support clear expectations, and keep ME Market Days safe, professional, and enjoyable for everyone involved.
Vendor Approval
All vendor applications are reviewed before approval.
Submitting a vendor application or interest form does not guarantee acceptance, booth placement, event participation, category exclusivity, membership approval, or promotional placement.
Mercha Exchange may review vendors based on event space, product or service category, setup needs, vendor mix, event goals, shopper experience, and overall fit for ME Market Days.
Booth Options
ME Market Days may offer different booth options depending on the event, location, space availability, and setup needs.
Available booth options may include:
Standard 10x10 booth space
Larger 10x20 booth space
ME Booth Setup Packages
Food and beverage vendor spaces
Premium or high-traffic placement opportunities when available
Booth options, availability, and pricing may vary by event. Final booth pricing and payment details will be provided before payment is requested.
Bring Your Own Setup
Vendors who bring their own setup are responsible for providing their own approved tent, table, chairs, signage, displays, tent weights, and any other booth materials needed for the event.
All vendor setups must fit within the approved booth space unless a larger booth space has been approved in advance.
Vendors are responsible for setting up and tearing down their own booth within the assigned setup and teardown times.
ME Booth Setup Packages
ME Market may offer a limited number of ME Booth Setup Packages for vendors who need additional setup support.
ME Booth Setup Packages may include:
Canopy tent
One table
Two chairs
ME setup before the event
ME teardown after the event
Custom ME Market vendor canvas bag when available
Vendor water bottle when available
ME Booth Setup Packages are limited and must be requested, approved, and paid for in advance.
Vendors using ME-provided equipment are expected to use the equipment responsibly. Vendors may be responsible for damage, loss, misuse, or excessive cleaning related to ME-provided tents, tables, chairs, signs, or other event materials.
Booth Numbers and Event Map
All approved vendors will receive an assigned booth number.
ME Market Days may provide an event map or layout before the event or during vendor check-in.
Booth placement is managed by ME Market to help create an organized, safe, and welcoming layout for shoppers, vendors, food and beverage trucks, and event staff.
Vendor placement requests may be considered but are not guaranteed.
Tent and Safety Requirements
All tents must be properly secured with approved weights.
Tent stakes may not be allowed depending on park, city, venue, or event rules.
Vendors are responsible for making sure their booth setup is safe, secure, and appropriate for outdoor event conditions.
ME Market may require vendors to adjust or remove unsafe displays, tents, signage, or equipment.
Weather and Event Conditions
ME Market Days are outdoor or community-based events and may be affected by weather, wind, heat, rain, park conditions, or other safety concerns.
Mercha Exchange may delay, modify, cancel, or end an event early if conditions become unsafe or if required by the venue, city, park, or local authority.
Vendors should come prepared for outdoor event conditions and secure all booth materials properly.
Setup and Teardown
ME Market Days events are generally planned to run from 10:00 AM to 3:00 PM unless otherwise noted.
Vendor setup times and teardown times will be provided before each event.
Vendors must arrive during the approved setup window and be ready before the event begins.
Vendors may not tear down early unless approved by ME Market or unless weather, safety, or emergency conditions require it.
Vendors with larger setups or special needs may request early setup consideration in advance. Early setup is not guaranteed and must be approved by ME Market.
Vendor Water
All approved vendors receive access to complimentary water throughout the event.
Vendors are encouraged to bring any additional drinks, snacks, coolers, or personal items needed for the day.
Vendor Conduct
Vendors are expected to behave professionally and respectfully toward shoppers, other vendors, food and beverage vendors, event staff, volunteers, park staff, and community members.
ME Market Days is intended to be a welcoming and community-centered environment.
Mercha Exchange may remove a vendor from an event or deny future participation if the vendor engages in unsafe, disrespectful, disruptive, misleading, or inappropriate behavior.
Products and Displays
Vendors are responsible for the products, services, pricing, claims, displays, and materials they bring to the event.
All products and displays must be appropriate for the event and must follow ME Market Days rules, venue requirements, and applicable laws.
Mercha Exchange may decline or remove items that do not align with event standards, safety expectations, prohibited item rules, or shopper experience.
Sales, Taxes, and Payments
Vendors are responsible for handling their own event sales, payment collection, pricing, sales tax obligations, receipts, returns, refunds, and customer service unless otherwise approved in writing.
ME Market Days does not charge an application fee and does not take a percentage of vendor sales at the event.
Approved vendors pay the applicable flat booth, spot, or setup package fee for the event.
Food and Beverage Vendors
Food and beverage vendors may be reviewed separately from standard booth vendors because trucks, trailers, carts, food booths, and beverage vendors may require additional space, placement planning, permits, power planning, customer line flow, and event coordination.
Food and beverage vendors are responsible for their own permits, licenses, insurance if required, menu, pricing, equipment, power needs, setup, service, cleanup, and compliance with local health, city, park, fire, and event requirements.
Electricity is not guaranteed and must be requested and approved in advance.
Food and beverage vendor spaces may be priced separately from standard vendor booths due to space needs and event layout planning.
Electricity and Generators
Electricity is not guaranteed at ME Market Days events.
Vendors who need electricity must request it in advance. Approval depends on venue availability, event layout, safety rules, and power access.
Vendors may be responsible for providing their own approved generator or power source if electricity is not available.
Generators must be safe, appropriate for the event, and approved when required.
Trash and Cleanup
Vendors are responsible for keeping their booth area clean during the event.
Vendors must remove their own trash, packaging, displays, equipment, and personal items during teardown.
Food and beverage vendors are responsible for managing trash and cleanup around their service area.
Vendors who leave excessive trash, damage, or mess may be denied future participation or charged for cleanup when appropriate.
Promotion and Media
ME Market Days may promote approved vendors through event listings, social media, website mentions, vendor spotlights, photos, videos, or other marketing materials when available.
Promotion is not guaranteed and may vary by event, membership level, vendor type, timing, and available content.
By participating in ME Market Days, vendors understand that event photos or videos may be taken for promotional, social media, website, or marketing purposes.
Membership and Booth Benefits
ME Market members may receive discounted booth pricing, early access to event applications, priority opportunity notices, or additional promotional consideration depending on membership level and event availability.
ME Market membership is not required to apply for ME Market Days unless otherwise stated for a specific opportunity.
Event-only vendors may apply for individual ME Market Days opportunities without becoming ongoing ME Market members.
Event-only vendor participation does not include ongoing ME Directory placement, membership visibility benefits, or member booth discounts unless separately approved.
Fees and Payment
Booth fees, setup package pricing, food and beverage vendor fees, and any premium placement options may vary by event.
Final pricing will be listed on the event application, booth information page, approval email, or payment instructions before payment is requested.
Vendor spots and setup packages are not considered reserved until the vendor is approved and payment is completed, unless otherwise stated by Mercha Exchange.
Cancellation and Refunds
Event cancellation, vendor cancellation, refund, credit, and weather-related policies may vary by event and will be provided with event-specific details when applicable.
Vendors should review all event details, payment terms, and cancellation information before completing payment.
Right to Refuse or Remove Vendors
Mercha Exchange reserves the right to approve, decline, remove, or restrict vendors at its discretion based on event needs, safety concerns, vendor conduct, product fit, incomplete information, nonpayment, rule violations, or overall event experience.
